Accounts Payable
Job Title: Accounts Payable Clerk/Front Desk
Wage: $14.50-$15.00 per hour
Reports to: CEO and Sr. Executive Assistant
JOB SUMMARY: The qualified candidate will be responsible for the accounts payable process. This is a comprehensive position that requires a motivated self-starter who enjoys challenges, is flexible, analytical, and very detail oriented.
ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to:
- Contact with Vendors regarding payables.
- Answer Vendors inquiries.
- Set up vendors in QuickBooks.
- Complete Credit Applications – when applicable
- QuickBooks Payables:
- Make sure all vendor payables are scanned/indexed properly into QB.
- Manage Invoices. Follow-up on purchase orders and help resolve any vendor issues.
- Generate and send weekly reports to CEO.
- Assist IT Department in testing and implementing new workflow, training and process on new office equipment’s.
- Process weekly check run.
- Input and process assigned invoices.
- Manage vendor electronic payments process
- Work with CEO to get all checks printed, reviewed and mailed out.
- Special projects assigned by CEO or Sr. Executive Assistant.
- Draft correspondences and other formal documents
- Plan and schedule appointments and events
- Greet and assist onsite guests
- Answer inbound telephone calls
- Develop and implement organized filing systems
- Perform all other office tasks
Preferred Skills and Qualifications:
- 2-5 years of hands-on, day-to-day full cycle account payable required
- A minimum of 2 year of experience of administrative procedures.
- Strong QuickBooks and Microsoft Office Suite skills is a must.
- An aptitude to quickly learn new systems, and processes.
- Logical, proactive and creatively perform research and ask questions in order to resolve issues.
- Strong, internal drive to consistently improve on processes.
- Ability to meet deadlines without compromising accuracy, excellent product quality.
- Must be organized, meticulous and extremely detailed.
- Independent, self-starter, able to work effectively with limited supervision and demonstrate an ability to work both independently and within a team environment.
- Excellent oral and written communication skills; high level of professionalism and excellent interpersonal skills exhibiting strong relationship-building ability.
- Flexible, positive attitude easily adapt to change as the company pursues their best-in-class goals.
