Job Summary:

Provides assistance to the Deputy Athletics Directors, Athletics Director, and Executive Administration with activities associated with the athletic program and sport operations.

  • Serves as the primary point of contact on any matter directed to the Senior Associate Athletic Director's office by department staff, student-athletes, University and community constituencies.
  • Manages the day-to-day executive office operations, schedules meetings, w orkflow and prioritizes incoming issues, correspondence and determines appropriate course of action, referral, and/or response.
  • Schedules, oversees, and facilitate department meetings as assigned or on behalf of the Executive Administrative office
  • Serves as facilitator in scheduling, coordinating and executing projects, meetings, and events and in the communication of information from the Senior Associate Athletic Director's office and Executive Administration Office.
  • Drafts and distributes correspondence to coaches, staff and student- athletes regarding items needing their attention or attendance.
  • Represents Executive Administration and serves as a liaison for sports with various University units (housing, compliance, business operations, and SAAC). On issues related to each respective area.
  • Assists with coordination of travel for recruiting visits and works with the Compliance office to ensure all related paperwork is secured.
  • Assists in reconciling travel, tracking, and monitoring the sports operations budgets.
  • Assists the Head Coach, and assistant coaches with the team travel (including travel authorization requests, buses/vans, hotels, and food).
  • Follows FIU procedures with ordering of supplies and monitors the budget for any funds that flow through the athletic program sport-specific budget.
  • Adheres to all State of Florida, University, NCAA, Conference USA, and department rules and policies pertaining to the position of Sport and Administrative Operation Specialist. Reports any known NCAA Violations or concerns to the director of Athletic Compliance and be responsible for the monitoring of any subordinate as it relates to NCAA regulations.

Minimum Qualifications:

High school diploma or GED and six (6) years of office or related experience coordinating functions of an office or department.

Desired Qualifications:

Experience with Microsoft Office Suite.
