JOB SUMMARY
The Assistant Regional Property Manager will assist the Regional Property Manager with directing and coordinating all activities of the properties in the company’s portfolio to ensure that the company’s/ownership’s financial and business objectives are achieved. Additionally, this employee will also help to oversee multiple managers and provide guidance on operating and financial issues to those managers.
DUTIES AND RESPONSIBILITIES
- Works with Regional Property Manager as needed to achieve annual budgeting process with property managers and ownership. Achieve an understanding of budgets for each property and be able to evaluate if things are on track.
- Assists with financial reporting to include-cash flow projections and funding requests.
- Mentors associates-- recognizing and assisting associates to grow by providing constructive feedback and ensuring proper training.
- Works with Human Resources to approve new hires, status changes, and terminations for on-site personnel in accordance with company policies and directives.
- Assists Regional Property Manager in preparing and conducting meetings as necessary, along with assisting Property Managers with site-level employees.
- Monitors, assists, and makes recommendations to improve marketing activities; reviews occupancy status.
- Helps Regional Property Manager to review/audit property administrative, accounting and maintenance areas to ensure compliance with established policies and procedures.
- Inspects properties to ensure the highest standards are maintained; evaluates maintenance, grounds, and housekeeping operations in areas of efficiency. Conducts periodic inspection of vacant apartments for market-ready condition.
- Assists in or develops corrective programs for apartment communities.
- Assists Regional Property Manager with overseeing and directing day-to-day property operations across the portfolio, including direct management of functional line managers (leasing, resident services, maintenance).
- Performs regular site visits to insure smooth functioning and organization of site offices; performs physical inspections of properties
- Reviews with managers and maintenance staff the preventative maintenance program
- Works with property managers to retain and develop staff at all levels
- Works with corporate office to ensure that risk management practices are implemented and followed
- Help to set up new properties. Evaluate progress on new properties, and step in as needed during opening transitions.
- Negotiate with vendors if needed
- Performs other duties as assigned.
REQUIREMENTS
- Individual must possess a proven track record of successful property management experience and knowledge of property maintenance, property marketing, and insurance.
- Five years multi-site apartment supervisory experience.
- Must have the ability to communicate well both verbally and in writing and possess strong supervisory, personnel management and organizational skills.
- Strong problem-solving skills.
- Able to work independently with minimal supervision and be accountable for actions.
- Self-motivated.
- Works efficiently and effectively under stressful situations.
- Able to organize work, set priorities and delegate with proper follow-up.
- Can collect and analyze data (Analytical).
- Must have construction and marketing knowledge.
- Ability to train site managers.
- Ability to communicate with managers, vendors, and residents
- Must have good conflict resolution skills
- Proficient using Microsoft Office.
- Knowledge of Apartment Management Software.
- Experience managing staff of minimum 20 persons, along with maintenance department.
- Experience in residential apartment marketing and management and knowledge of applicable laws and regulations.
- Knowledge of established accounting and bookkeeping practices and procedures including the ability to create budgets and analyze financial statements.
- Ability to multi-task and adapt to changing priorities.
- Must interact effectively with all levels of employees and external contacts.
- Must work well under pressure, exercise good judgment when making decisions and handle stressful situations in a mature, professional manner.
- Computer skills including: internet, e-mail, (MS Outlook) MS Excel, and MS Word.
EDUCATION AND CERTIFICATIONS:
Bachelor’s degree.
CPM, CAPS
PHYSICAL REQUIREMENTS
- The ability to move safely over uneven terrain.
- Finger dexterity may be required to operate a computer keyboard and calculator.
- The ability to bend, squat, climb stairs and lift frequently.
- Continuous walking, standing and moving about.
- Repetitive movement of hands, arms and legs.
- Must be able stoop, kneel, crouch or crawl in awkward positions.
- Must be able to work outdoors in all weather conditions.
- Must be at least 18 years old and physically able to perform work assigned.
- Must be able to read employee handbook, safety information and task lists.
- Some travel is necessary.
PROPER ATTIRE
Business casual. Appropriate attire for a professional appearance with customers. Should wear appropriate safety attire if the job situation requires.
