AARP's Community, State and National Affairs (CSN) Group includes Government Relations, Programs, Volunteer Engagement, Community Outreach and Advocacy at the federal, state and local levels. The Senior Operations Associate participates in a variety of administrative-level projects and programs in support of business unit or department initiatives. You will also prepare and maintain records of incoming invoices and provide financial budgeting support for a business unit or department. Produces standard data reports, organizes and maintains electronic records and processes various forms.

Responsibilities

  • Processes and prepares accounting entries. Reviews and audits financial statements and reports. Ensures all calculations and data entries are correct. Reconciles general ledger accounts for discrepancies and identifies errors. Follows-up on pending business and responds to requests. Responds to inquiries from internal clients and researches and resolves concerns or discrepancies.
  • Provides professional administrative support directly to manager and/or functional area. Receives and responds to correspondence and maintains departmental records. Prepares budget reports and other materials, ad-hoc reports, and vendor invoices. Schedules meetings for departmental staff, reserves conference rooms, catering, AV equipment. Makes travel arrangements and prepares travel expense reports forms. Participates in and contributes to special projects as needed.
  • Supports a business unit by regularly providing administrative-level support on a variety of projects, programs, and initiatives that are typically division-wide or enterprise-wide. Conducts research and summarizes information. Creates presentations and facilitates meetings. Analyzes and develops reports and provides recommendations. Tracks budgets and project/program activities. May delegate responsibilities to ensure work is completed. Organizes and maintains electronic records. Prepares and processes various forms.
  • Plans, organizes, and implements assigned projects. Determines resources needed, tracks budget, determines scope and execution, tracks progress towards milestones, establishes timelines, and evaluates progress. Ensures adherence to internal and external quality standards. Organizes project teams and leads internal and external team members and stakeholders to deliver on project goals. Establishes project communication plans and ensures internal/external stakeholders are informed regarding project processes and impact.

Qualifications

  • Completion of an Associate's degree and a minimum of 3 years of experience related to the duties of the position.
  • Strong understanding of accounting principles and financial management.
  • Experience in project management, event management and coordination.
  • Ability to prioritize and multitask; strong aptitude to manage multiple projects/tasks simultaneously.
  • Advanced proficiency with Microsoft Office systems including Outlook, Word, Excel and PowerPoint.
  • Well-developed interpersonal and communications skills, both written and verbal.
  • Ability to occasionally lift up to 25 pounds.


Flexible Work Arrangement (FWA)

AARP observes Mondays and Fridays as telecommuting workdays, except for essential functions. Remote work and telecommuting can only be done within the United States and its territories.
