Job Description

Developmental Pathways (DP) has an opportunity for an Administrative Specialist - Data, Administration, Operations - Bilingual (English and Spanish) in our Community Engagement department. The Administrative Specialist will provide professional-level administration and project support and will develop and maintain systems of organization, distribution, and communication. This role will manage administrative processes, records, and projects under strict deadlines. This role will also support department events and meetings and will problem-solve with staff and managers.

 

This a 40-hour week, hybrid position, working primarily remotely but coming into our headquarters office in Aurora, CO, and/or other offsite locations as needed.

$18.76 - $20.41 hourly + an additional 4% Bilingual pay premium for hours worked

Requirements

 

  • High School Diploma or GED

  • Able to speak, write, and interpret fluently in English and Spanish

  • Ability to complete all typical responsibilities in English and Spanish

  • Support with written translation of internal documents for use by stakeholders, as appropriate

Preferred

 

  • Associate’s degree or equivalent education and experience

  • Two (2) years experience working in administrative support roles

  • Experience in human services or nonprofit field

 

Additional Responsibilities

 

  • Maintain core competency in all related databases; oversees the maintenance of SmartSheets

  • Ensure files are maintained according to regulatory and agency standards including financial tracking

  • Ensure appropriate and timely entry of data into all tracking systems

  • Ensure correct entry and upload of credit card receipts and invoices to financial payment systems

  • Complete termination letters for families leaving the Community Outreach Waitlist Services Program

  • Create, oversee, and implement project plans to completion

  • Coordinate with all project stakeholders; connect the organization’s priorities and align projects to fulfill these needs

  • Create and maintain comprehensive project documentation; develop and communicate to superiors a detailed project plan to track progress

  • Review invoices and complete financial payments

  • Represent Developmental Pathways in various community activities

  • Prepare and complete an analysis of annual program survey

  • Provide administrative assistance to internal and external entities for various CA projects/programs

  • Maintain databases related to aspects of department functions and services

  • Create and maintain systems for tracking various functions, report out appropriately, and ensure data integrity and timely entry of data
