The Position:

The Billing Coordinator is responsible for managing the billing and invoicing processes within Gainsborough Waste and Texas Outhouse. The Billing Coordinator plays a critical role in ensuring that customers receive accurate and timely invoices.

Responsibilities:

• Creates and distributes invoices to clients or customers in a timely and accurate manner.
• Reviews invoices to ensure accuracy, including checking pricing, quantities, and terms.
• Accurately inputs and maintains billing and customer information in the company's accounting system.
• Maintains organized records of invoices, payment receipts, and any related correspondence for future reference and audit purposes.
• Ensures that billing processes comply with applicable laws and regulations, such as tax regulations, industry-specific rules, and company policies.
• Works to resolve billing disputes or discrepancies by researching and analyzing records and communicating with relevant parties.
• Processes incoming payments from customers and records transactions in the company's financial system.
• Monitors and follows up on overdue payments, sending reminders to customers as needed.
• Addresses and responds to customer inquiries related to invoices, payment terms, and billing discrepancies, providing excellent customer service and resolving issues promptly.
• Prepares cash payments for delivery to the bank.
• Collaborates with sales, customer service, and finance teams to resolve billing issues and discrepancies, ensuring a smooth and accurate billing process.
• Provides guidance and support to other team members or departments on billing procedures and related matters.
• Continuously works on process improvement, identifying ways to streamline and optimize the billing process to increase efficiency and accuracy.
• Serves as a backup for credit card processing and check payments for the Customer Service department.
• All other duties as assigned.

Are you a fit?

• High School Diploma or General Education Degree (GED) required.
• Associate Degree or equivalent from a two-year college in accounting preferred.
• More than five years of related experience and/or training in a similar role.
• Basic Microsoft Office/Excel skills required.
