The Full Charge Bookkeeper is responsible for maintaining the day-to-day Finance operations of IVOXY Consulting, a privately held provider of data solutions and training for medium to large entities. This is a 100% virtual position working from home and reporting to the Controller. While operating in a remote environment, the IVOXY team is a highly collaborative group of professionals, focused on providing our customers outstanding products and customer support. IVOXY uses a hosted version of QuickBooks Enterprise, Salesforce, BambooHR, Expensify and Avalara.
Responsibilities may include the following:
- Enter Accounts Receivable into QuickBooks.
- Respond to AR related communications, including billing questions and collection of past due amounts.
- Enter Accounts payable into QuickBooks
- Reconcile vendor statements
- Recommend vendor payments for weekly check run and submit for approval (Bills to Pay report)
- Prepare and process ACH vendor payments
- Process employee expense reimbursements after approval of Expensify reports
- Prepare/issue 1099’s
- Provide support for cash flow projections
- Payroll
- Prepare commission reports for review by account managers.
- Assist in managing 401K
- State and Local taxes
- Assist in reviewing sales tax for monthly Avalara tax filings
- Prepare state/federal tax deposits in coordination with outsourced CPA
- General Ledger/Month-End close
- Reconcile prepaid expenses
- Reconcile fixed assets and record depreciation expenses
- Reconcile general ledger to external sales tracking datafile
- Coordinate marketing reimbursement claims and track payments for GL purposes
Requirements
- Minimum AA Accounting degree and two years of prior experience in a similar role, or an equivalent combination of education and experience.
- QuickBooks experience required.
- Excel proficient, intermediate level
- Must be dependable, open, caring, consistent and a team player.
- Detail oriented, with strong organizational skills.
- Multitasker
- Ability to troubleshoot.
- Proactively provide solutions to problems through improved processes or procedures
- Demonstrated ability to work both independently and as part of a team
- Strong customer service skills
- Strong written and verbal communications skills in English.
- Ability to meet internal and external deadlines
- Prior experience dealing with vendor financing/leasing arrangements is desired.
- Must be located in the Pacific Northwest.
