Project Coordinator

POSITION SUMMARY
The Project Coordinator ensures that all projects meet high quality standards and provides administrative and logistical support including meeting arrangement, progress tracking and documentation.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The essential functions include, but are not limited to the following:

  • Helps coordinate project management activities and resources.
  • Participates in project design meetings and propose improvements when necessary.
  • Download plans, specs and job into Procore software.
  • Creates purchase orders for projects as needed.
  • Prepare prime contract and deadlines for job set-ups (Procore, project list, job book, drawings, etc.).
  • Prepare standard subcontract, reports, forms, and rules for job set-ups.
  • Evaluate potential problems (e.g. lead times, etc.) and technical issues and help develop solutions.
  • Plan and prepare project schedules and new project information.
  • Manage project-related paperwork to ensure all necessary materials are current, properly filed and stored.
  • Directs project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails as needed.
  • Helps communicate with clients and vendors to identify and define project requirements, scope, and objectives.
  • Assist in processing change orders, RFI’s, PCO’s and procure permits.
  • Prepares, sends out and coordinates subcontractors and PO’s.
  • Get all signed subcontractors and PO’s back.
  • Track submittals, close out docs and daily reports.
  • Process pre-liens when awarded a contract.
  • Secure buyouts – change orders, purchases, etc. as needed.
  • Per DOA regulations, acquire badging, upload all required documents to Procore, and create & submit works plans.
  • Other duties may be assigned at the discretion of Management that are related to the fundamental aspects of the position.

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)
The Project Coordinator must possess the following qualifications:

  • 1-3 years of experience in Project Coordinator role in the construction field.
  • Contract Writing Experience
  • Knowledge of accounting is helpful.
  • Work experience in handling projects.
  • Excellent telephone etiquette & professionalism.
  • Must be highly motivated and can function independently.
  • Documentation management and ability to use project management tools.
  • Excellent verbal and written communication skills with aptitude in problem-solving.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to be personable, friendly and handle customer related problems in a proactive and positive and safe manner.
  • Ability to comply with all federal and state agency requirements.
  • Must adhere to all company and departmental policies and procedures as well as all the practices.
  • Must be able to take constructive criticism and be willing to always improve.
  • Must demonstrate sound judgment and maturity in his or her decision-making ability, even when dealing with difficult situations.
  • The ability to meet attendance schedule with dependability and consistency.
  • Proficient with Microsoft Office Suite or related software.

The vision requirements include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
