Director of Finance and Operations

The goal of the Director of Finance and Operations position is to secure the functionality of business to drive extensive and sustainable growth. This position is a manager with broad responsibilities. They oversee daily accounting, human resources, culture changes and technology functions. with a focus on revenue growth, people, strategic planning, product development and partnerships. Together with the CEO, VP, Leadership Advisory Board and Consultants, the Director of Finance and Operations will execute on the corporate strategic plan, focusing on corporate strategic planning, financial growth and planning, technology strategy, process operations and development of people and culture.

They will bring financial, managerial, technology, process management and policy and procedures to the team. They will effectively communicate and foster growth among the executive team and all employees, vendors, clients and partners.

Duties and Responsibilities:

Strategy, Planning and Management;

  • Act as the financial manager and strategic business partner to senior executive leadership team.
  • Assess and evaluate financial performance of organization with regard to long-term operational goals, budgets and forecasts.
  • Identify, acquire and implement systems and software to provide critical financial and operational information. Evaluate departments and make suggestions for automating processes and increasing working efficiency.
  • Communicate, engage and interact with CEO and Vice President, as well as Advisory Board Members and Leadership Consultants.
  • Create and establish yearly financial objectives that align with the company’s plan for growth and expansion.

Financial Analysis, Budgeting and Forecasting;

  • Prepare, review and present monthly financial budgeting reports including monthly profit and loss by division, forecast vs. budget by division and weekly cash flow by division.
  • Review and analyze monthly financial results and provide recommendations.
  • Develop and maintain monthly operating budget and annual company operating budget.
  • Manage financial planning and analysis department. Supervise creation of reports, software implementation and tools for budgeting and forecasting.

Accounting, General Ledger, Administration and Process Management;

  • Supervise the accounting, HR and technology departments to ensure the proper functioning of all systems, databases and software. Provide regular maintenance and backup of all accounting systems and supervise company financial staff.
  • Ensure timeliness and accuracy of financial and management reporting data for Executive Leadership
  • Oversee the preparation and communication of weekly, monthly and annual financial statements.
  • Review and oversee the month-end close process, constantly reviewing procedures while eliminating inefficiencies.
  • Oversee preparation of monthly, quarterly and annual financial statements.
  • Coordinate and strategize methods used to attain team goals with Executive Leadership Team.

Financial Management, including Cash Management;

  • Oversee cash, investments and asset management area, including AP and AR departments
  • Manage cash flow planning process and ensure funds availability
  • Supervise Accounts Receivable management while working in conjunction with VP for weekly client collection

Financial Relations and Policies;

  • Engage with CEO, VP and Advisory Board to develop short term and long-term plans, projections and budgets.
  • Assist CEO in representing the company to banks, financial partners, institutions, investors, public auditors and officials.
  • Remain current on audit best practices as well as state, federal and local laws regarding company operations.

Accounting & Technology Team Management;

  • Mentor and develop a team, managing work allocation, systems training, performance evaluations, and the building of an effective and efficient team dynamic.
  • Motivate and lead a high-performance management team; attract, recruit and retain required members of the team not currently in place; provide mentoring as a cornerstone to the management career development program.

Technology and Software;

  • Manage CrewFacts technology platform, including user requirements and updates
  • Continually develop upgraded areas for new versions of the platform
  • Researches and implements technological strategic solutions
  • Initiates, coordinates, and enforces systems, policies, and procedures.
  • Maintains staff by recruiting, selecting, orienting, and training employees.
  • Maintains a safe and secure work environment.
  • Maintains organization’s effectiveness and efficiency by defining and delivering strategic plans for implementing information technologies.

Process Management;

  • Develop, implement, and monitor day-to-day operational systems and processes to provide visibility into the goals, progress, and obstacles of key initiatives
  • Collaborate with management, external partners, and vendors to make decisions regarding operational activity and strategic goals
  • Continue to work with the team to ensure that the process, SOP (standard operations process) are in place and reviewed by the team
  • Ensure that the detailed end to end process work is done and reviewed by each department

Human Resources;

  • Recruit, interview and hire finance, accounting, technology and payroll staff as required.
  • Engage with the executive leadership team to continue to grow and develop a thriving, positive and engagement company culture, including DEI
  • Create an internal communication plan
  • Manage the staffing process, including recruiting, interviewing, hiring and onboarding
  • Ensure job descriptions are up to date and compliant with all local, state and federal regulations
  • Develop training materials and performance management programs to help ensure employees understand their job responsibilities
  • Ensure the organization’s compliance with local, state and federal regulations
  • Ensure all company HR policies are applied consistently
  • Maintain company organization charts and employee directors
  • Maintain HR systems and processes
  • Design and implement employee retention strategies

Additional Responsibilities;

  • Serve as a key member of executive leadership team and round table discussion panel.
  • Participate in pivotal decisions as they relate to strategic initiatives and operational models.
  • Interact with and bring department into line with Executive Leadership’s plans, initiatives and recommendations.
  • Implement policies, procedures and processes as deemed appropriate by senior leadership team.

 

REQUIREMENTS:

  • Please do not apply without: A Minimum of 5-7 years of Management or Director level operations experience.
  • Highly organized, deadline and detail-oriented, with a keen ability to work in a high stress, fast paced environment with constant re-prioritizing required.
  • Must be a "hands on" self starter, willing to learn and understand our organization's flow, processes and procedures from a level 1 perspective.
  • Adept at transitioning seamlessly from a strategic level vision to day-to-day tactical operations required.
  • Understanding of and ability to create healthy organizational culture required.
  • Experience building high performing teams, including the ability to recognize and cultivate rising talent required.
  • Candidate shall have a "make it happen" attitude and outstanding team skills.
  • Flexible working hours and able to function in a fast-changing environment.
  • Exceptional verbal and written communication skills.
  • Ability to exercise good judgment in handling confidential and/or sensitive matters.
  • Ability to anticipate issues before they arise and recommend creative solutions.

  • Ability to compose and type correspondence accurately and proficiently.
  • Demonstrated proficiency with a multitude of software programs including call center phone systems, CRMs, MS Office (Outlook, Word, Excel, and PowerPoint). Overall an ability to adapt quickly to new computer software/programs.
  • Varied experiences and responsibilities in Operations, Finance, and Human Resources strongly preferred.
  • Experience leading high-performance teams.
  • Bachelor’s degree strongly preferred.
  • Advanced degree, MBA or similar, preferred.
