Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our team. The ideal candidate will be proactive, resourceful, and able to handle a wide range of administrative and executive support-related tasks.
Duties:
- Run errands. This would include driving up to 2 hours away occasionally. Delivering checks to projects in DE, NJ & PA. Picking things up as needed. Must have reliable transportation. Employee will be reimbursed by mile driven.
- Must be able to use microsoft outlook, excel, word and sharepoint. Will be trained on the use of Bluebeam, Foundation Soft and Quickbooks. Experience with these programs is a plus. Please note on your application.
- Technical knowledge. Looking for someone that is able to troubleshoot basic problems with computer, printer, software, phones etc.
- Submitting weekly certified reports
- Entering payroll in QB
- Cleaning employee time DAILY. Must communicate with field employees daily.
- You will be provided with a cell phone which must be with you during work hours.
- Entering new employees and projects into office systems.
- Stocking the office kitchen with drinks / snacks.
- Manage executives' calendars, schedule meetings, and appointments
- Prepare and edit correspondence, communications, and other documents
- Conduct research, compile data, and prepare reports
- Handle confidential information with discretion
- Perform general office management duties such as ordering supplies and maintaining records. Taking out trash daily, cleaning and vacuuming weekly.
- Assist with special projects as needed.
- Assisting executives / owners with errands and other tasks as needed.
Qualifications: (must have knowledge of the bold items.)
- Experience with Exaktime.
- Proven experience as an Executive Assistant or similar administrative role
- Proficient in QuickBooks, Microsoft 365, Bluebeam, Foundations and MS Office.
- Strong organizational skills with the ability to prioritize tasks efficiently
- Must be able to manage yourself and your responsibilities.
- Excellent communication skills, both written and verbal
- Ability to transcribe accurately and perform data entry tasks swiftly
- Knowledge of office management systems and procedures
- Exceptional attention to detail and accuracy in all work
Nice-to-have Skills:
- Familiarity with proofreading documents for errors
- Experience in clerical duties such as typing and filing
