Rapidly growing FMO/RIA in Fort Lauderdale seeks an organized and energetic Executive Assistant to provide best-in-class administrative support to Senior Managers and Clients. This is an in-office position (Fort Lauderdale 33309)

This role is responsible for making travel arrangements & handling calendar events for leadership, coworker, and clients; organizing reports and documents; setting up meetings, and other similar duties.


This role will be the main point of contact for new clients during the transition process. Guiding new clients through licensing, software orientation and other onboarding requirements to ensure a smooth transition experience. Strong communication skills and the ability to multi-task are essential to succeed in this client-facing role.


Responsibilities

  • Scheduling and calendaring for multiple personnel simultaneously. Monitor manager and executive calendars to ensure logical and reasonable flow of daily events; prioritize and confirm meetings, advise of cancellations or rescheduling. Send out virtual meeting invites, when requested.
  • Submit expenses to the Accounting Dept. following the firm's expense reporting procedures on behalf of oneself and the team. Track down receipts as necessary. Reconcile monthly credit card statements.
  • Coordinate all aspects of travel; book and track flights, monitor weather conditions, arrange for ground transportation, utilize technology to optimize travel experience. Follow up and monitor all legs of the trip until the traveler has returned to the destination.
  • Ensure all team members remain compliant with firmwide deliverables.
  • Demonstrated ability to work with confidential information and executive level matters.
  • Helping our new clients, Financial Advisors, with onboarding and oversee their transition becoming that new client’s point of contact within the company. Oversee the new client relationship from the Licensing stage thru the entire onboarding process. Troubleshooting any problems, providing technical guidance, and assisting Advisors with company software navigation and usage.
  • Multiple onboardings must be simultaneously handled at their various stages.

Requirements:

Qualifications and Skills

  • Must be able to work for any US employer without sponsorship.
  • Some college or secondary training preferred.
  • 5+ years prior Administrative Assistant/Executive Assistant experience in a corporate environment.
  • Client onboarding experience highly desired.
  • Financial Services Industry experience desired.
  • Time flexibility (willingness to occasionally work evenings, weekends when necessary).
  • Responsible, mature professional with excellent attention to detail and strong communication skills.
  • Successful experience in building relationships with coworkers and clients; ability to connect with clients.
  • Proven ability to work independently and complete assigned tasks on schedule. Able to juggle multiple deliverables concurrently in a fast-paced environment.
  • Strong computer skills including Microsoft Office suite; ability and openness to continuously learn new skills and technology. Salesforce experience a plus.
  • Decisive, resourceful problem solver able to anticipate and proactively solve issues that may arise.
