Chileda's mission is to improve the quality of life for individuals with cognitive and behavior challenges. Chileda's goal is to help students increase their appropriate social behaviors and develop independent living skills, through an enriched learning environment and individualized behavior programming. We are now accepting applications for an Administrative Assistant.

Summary:

The Administrative Assistant is responsible for creating a welcoming and professional experience for all students, staff, and guests who enter Chileda. This position also provides support and assistance to management staff, including greeting and directing all visitors.

Status Info:

This is a part-time position working Thursday and Friday 7:30am to 4:00pm.

Education Requirements:

High School Diploma is required. A bachelor's degree in Human Services or a related field is preferred.

Skills:

Must be proficient in PC skills, including Microsoft Office Suite. Must be highly organized, able to work with confidential information, and adapt to a fast-paced office with constant change. Prior experience working with individuals with developmental disabilities is preferred.

Job Duties Include:
  • Manage the lobby area, including maintaining a clean and welcoming reception area and answering phones in a courteous and professional manner.
  • Greet and direct all visitors, including parents of students, clients, drivers, vendors, job candidates, and other guests.
  • Coordinate day school student's arrival, greet students and drivers, and complete daily day school student attendance.
  • Assist Administrative staff with setting up meetings, coordinating conference rooms for meetings, and sending out certified mail.
  • Communicate day student transportation arrivals and departures. Provide general communication with drivers and transportation companies about changes and problems.
  • Maintain electronic student files to ensure that documents are electronically filed appropriately, ensuring effective and easy access for staff, third-party auditors, and licensors.
  • Set up Quarterly and IEP Meetings while coordinating meeting rooms. Respond to meeting request changes and make changes as needed. Send out meeting invitations to parents, LEA, social workers, and any other attendees.
  • Ensure that all mealtime duties are in compliance with the DPI and County Health Department requirements.
  • Act as contact for all meal-related agencies; including Mayo, DPI, and County Health Department.
  • Complete DPI reporting on time, thoroughly, and accurately. Reporting includes monthly claims, Direct Certification contract forms, and other required reports.
  • Ensure all food regulations and record keeping are followed and documented as required by DPI and the County Health Department, including the meal counts and temperatures as required. Conduct claim edit checks.
