Sayres is seeking an Integrated Logistics Support (ILS) Administrative Assistant with Secret Clearance in Washington, DC.

This will be a Washington, DC-based position with flexibility for Hybrid work. Must be able to be in the office hybrid to support customer and leadership requirements.

Responsibilities

In support of an expeditionary shipbuilding program, the Integrated Logistics Support (ILS) Administrative Assistant will be responsible for the following:

  • Organizes and schedules appointments using Microsoft Office products, including Outlook and Teams, Sayres Webex, Telephone Conferencing and Zoom technologies.
  • Plans and schedules meetings, develops meeting agendas for distribution, documents meeting discussions and actions, and produces minutes.
  • Handles all administrative requests and inquiries from managers and senior logisticians for execution and analysis of the Integrated Product Support Elements in support of a shipbuilding program office.
  • Prepares and distributes email, correspondence memoranda, letters and various forms.
  • Manage, maintain, and report to the management team, the PMS 385 ILS Support Team Taskings Tracking spreadsheet in Excel and Project Management System- Extranet Sites (PMS-ES).
  • Maintains the electronic filing system via the Sayres Shared Drive and PMS-ES.
  • Collates, synthesizes, and develops bi-weekly reporting documents including the ILS Support activities document, the Bulletin Board and Ship Class Scorecards in PowerPoint to report bi-weekly ILS metrics.
  • Requests conference rooms for ILS Analysts use to support the needs of the PMS 385 customer.
  • Supports Integrated Logistics Support Management Team (ILSMT) meetings and Quarterly Logistics Reviews (LR) by scheduling, attending, documenting discussions and action items, and preparing meeting minutes for formal accounts of the meetings.
  • Supports the delivery of EPF and ESB ships by preparing ILS checklists, collating delivery support data, preparing logistics support discs to be turned over with the ships at delivery.
  • Develops, updates, manages, and maintains ILSMT and Participating Acquisition Resource Manager (PARM) action items. Coordinate with action officers, as required.
  • Collates the ILS Team's individual monthly report submittals, prepares a single ILS Support Team draft monthly report, submits the draft report to the ILS Support Team Program Manager.
  • Manages, maintains, and reports the ILS Support Team Organization Chart to the ILS Support Team Program Manager.
  • May perform research in the federal supply system to obtain part numbers, nomenclature, suppliers and material availability information.
  • May perform research and analysis to support requests for information (RFI) from various government agencies.

Qualifications & Clearance Requirements

Preferred Education, Work Experience, Skills and Clearance Requirements:

  • Associate's degree and three (3) to five (5) years of related experience, or high school diploma with a minimum of ten (10) years of related experience.
  • Excellent written and verbal communications skills.
  • Demonstrable proficiency using Microsoft Office products Word, PowerPoint, Teams and Excel.
  • Strong organizational skills and ability to manage, track, and report on multiple projects.
  • Strong analytical and critical thinking skills for determining and providing administrative support.
  • Initiative-taker who works well independently as part of an integrated team.
  • Able to work in a ship/shipyard environment and conduct routine courier visits to the Washington Navy Yard (WNY) in support of the Program.
  • Previous military experience is helpful.

Active Secret security clearance verifiable in Defense Information System for Security (DISS), formerly Joint Personnel Adjudication System (JPAS) or the ability to obtain one.
