Job Description

Position Purpose:

The Family Planning Program Manager is responsible for ensuring that the agency complies with and implements family planning programmatic requirements set by funding entities such as Essential Access Health (Title X) and the Family Pact Program. This includes, but is not limited to, assisting in planning and monitoring all operations and financial aspects of the program. The position requires the program manager to work with the Operations team, which includes clinic administrators, directors, and administrative staff from all Wesley Health Center locations in the Los Angeles and Antelope Valley community clinics. The program manager will ensure that Family Planning services and STI testing are made available for the unique patient population that we serve through the provision of health education and financial resources.

Principal Responsibilities:

  1. Works directly with funding entities, which may include providing reports, programmatic updates, or making inquiries.
  2. Audits: Funders audit the agency, and the program manager will be responsible for ensuring that all audit requirements are met.
  3. Works with various interagency departments such as the Next-Gen department, billing, finance, development, and compliance.
  4. Uses Next-Gen to run reports to monitor the agency’s Family Planning and STI (Chlamydia) numbers and creates goals per clinic.
  5. Conducts quarterly chart audits to ensure the Family Planning Template is being used correctly at each site/care team.
  6. Works with the Development and Operations departments to promote family planning services such as procuring incentives, educational and/or promotional materials.
  7. Ensures that Community Health Workers are identified at each site, assists in the registration process, and ultimately ensures the completion of the training for every staff member enrolled at every site.
  8. Attends clinic staff meetings to announce updates, findings, or programmatic goals.
  9. Assists and works with departments to complete FPACT applications and grant renewals.
  10. Required to work with grant writers to ensure they have obtained all programmatic information for grant renewals and assist with any questions they may have for new grants.
  11. Creates binders and information sheets for all clinics for reference of program requirements.
  12. Attends community events on behalf of the agency to promote Family Planning Services and create linkages to our sites by creating appointments.
  13. Attends conferences required by our funders.
  14. Ability to communicate clearly and effectively through oral and written communication, as important program updates, requirements, and training will have to be communicated.
  15. Ensures that all clinics have the most up-to-date forms for patients to receive HAP Cards and enroll in the FPACT program.
  16. Creates community partnerships with schools and agencies to promote services that the agency offers.
  17. Oversees the grant’s budget and modifies it as needed.
  18. Drafts policies and procedures required by the program.
  19. Other duties as assigned.

Requirements:

  1. Minimum of 1-3 years of experience in program management, preferably in Family Planning and STI Services
  2. Experience working with clients or patients and staff from diverse socio-economic, ethic and cultural backgrounds.
  3. Proficiency with computer applications (e.g. word, excel, outlook) and Electronic Health Record system experience.
  4. Excellent organizational and project management skills, with the ability to manage multiple tasks and priorities effectively.
  5. Familiarity with budget management and grant writing processes

Preferred:

1. Bilingual (Spanish/English)
