MATSYS, Inc. is seeking an Operations Administrator to join its team of high-performing engineers, machinists, and technicians at its Sterling, VA facility. This position is responsible for ensuring the efficient and effective operation of our two campuses through operational efficiency, effective communications, and effective planning. The successful candidate will have the opportunity to learn, contribute, and grow in meaningful ways in this position that offers insight into numerous operational areas within the company, with the opportunity for growth in a number of fields.
Description
Business Operations
- Maintains document control standards and procedures
- Makes recommendations for improvements to business processes and data
- Creates dashboards for senior leadership review
- Special projects related to business process improvement
- Other business operations duties, as assigned
Project and Contract Support
- Provides contract and program management support
- Supports proposal activities (manage proposal submission process)
- Monitors performance metrics
- Other project support duties, as assigned
Human Resources
- Assists with management of the Human Resource Information System (Bamboo HR)
- Assists with employee recruitment efforts by attending career fairs, conducting outreach to community organizations, and building relationships with partners in order to generate a qualified candidate stream
- Employee event management
- Monitors performance metrics
- Other HR duties, as assigned
Accounting
- Manages the expense report process, including expense report verification and reconciliation with timecards and other related documentation
- Facilitates the payment of vendors via credit card, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies (internally and externally)
- Manages the credit card reconciliation process
- Verifies employee timecard entries against PTO requests and other documentation
- Other accounting duties, as assigned
Marketing
- Executes marketing and branding strategy
- Copywrites and edits marketing literature, including social media
- Gathers and tracks marketing metrics
- Assists in the organizing/attendance of promotional events and marketing campaigns
- Completes basic design work
- Assists with product photography
- Other marketing duties, as assigned
Office Administration
- Greets clients, visitors, and guests and manages visitor sign-in procedures
- Performs general clerical duties
- Manages office vendors
- Manages the shipping and receiving process
- Other office administration duties, as assigned
Required
- Associate’s Degree in business administration, operations management, or a closely related field
- 5+ years of closely-related work experience with progressively greater responsibility (administration, operations, marketing, etc.)
- Strong background in the use of MS office, basic design software
- Prior strong experience in copywriting/editing
- Strong experience in coordinating activities across departments
Preferred
- Bachelor’s Degree (or equivalent combination of education and experience) in business administration, operations management, or a closely related field
- 7+ years of closely-related work experience with progressively greater responsibility (administration, operations, marketing, etc.)
- Prior experience reconciling financial data
- Prior experience representing a company at networking events
- Prior experience assisting marketing, HR, business operations, and/or accounting functions
- Prior successful experience implementing new systems and processes
