Job Description
The primary purpose of this position is to assist the Protocol Officer in the planning, managing, and executing of the command protocol program to include conferences, ceremonies, briefings, official and social functions, and high-level foreign and domestic visits and events to support both DASA (DEC) and ASA (ALT).
Responsibilities:
- Planning and executing official visits and events for DASA(DE&C), SCF-As and conferences, incl. arranging transportation, accommodations, and meetings with dignitaries and other high-ranking officials.
- Work closely with other government agencies and departments to ensure DASA(DE&C) diplomatic activities are coordinated and consistent with broader U.S. foreign policy objectives.
- Ensure DASA(DE&C) adheres to established diplomatic protocols and procedures.
- Coordinates event plans and logistics (incl. APACs, Visas, itineraries, etc.)
- Provide protocol guidance, incl. information on appropriate attire, etiquette, etc.
- Maintain the gift management and exchange records.
- Assists with implementing policies and procedures for protocol.
- One (1) to two (2) years of specialized experience providing protocol assistance for visits of high-ranking United States (US) and foreign dignitaries; determining protocol support requirements, planning, and executing official events and ceremonies such as Change of Commands, reviewing protocol policies for an organization, and escorting dignitaries for the duration of their visit in a professional and courteous manner.
- Ability to establish regular contact with high-level internal and external resources and have periodic contacts with other offices; use of tact and diplomacy in addressing confidential or highly sensitive events, and during contact with foreign dignitaries, senior leaders, employees, and customers.
- Ability to balance responsibilities and manage multiple projects and assignments; ability to transition effectively from task to task, adapting to varying customer needs.
- Detailed knowledge and thorough understanding of regulations and procedures affecting Official Representation Funds (ORF) and skill in applying basic resource, budget, and funds management.
- Define and manage customer relations, ensuring that customer expectations are consistent with realistic time and cost projections and technical feasibility; discuss and resolve issues with customers, proactively identify appropriate service providers.
- Prepare specialized documents and reports related to ceremonies; provide the appropriate recommendations and solutions; and display, clarify, and maintain them on the corresponding database, as per the approved policies and procedures.
- Plans, manages, and schedules special award ceremonies such as retirements, promotions, decorations, and special acts/ suggestions awards.
- Must possess a current Security Clearance (Secret level)
- Bachelor's degree and at least ten (10) years of professional experience
- Strong organizational, time management skills and attention to detail
- Experience in working with foreign dignitaries and other high-level officials
- Excellent communication and interpersonal skills
- At least five (5) years' experience in DoD Program Management is preferred
- Ability to work efficiently in a fast-paced environment
