The area contributes to increasing the performance of the agency through the creation/monitoring of processes and policies, guiding each of the employees to the effective development of the mission, and that each of the values is reflected in the activities carried out. From the administrative point of view, the area supports the organization to comply with all the legal requirements that the city and the state demand.

Mission: To develop administrative and human resources processes to scale up 82nd Street Academics and its programs towards the business mission.

Administrative & HR
Support PETS process for all sites at hiring and discharge.
Track and follow up fingerprint process with Directors.
Ensure background check for 8110 programs and audit/support other locations.
Enroll/manage health insurance & benefits (registrations, renewals, or removals).
Report incidents to the insurance carrier.
Submit information related to unemployment insurance claims.
Organize and track digital and physical files (501 and Dropbox).
Review and monitor new policies or practices reported by Mineral-UST.
Submit and process onboarding documents.
Register new employees on APS before 1st day of work.
Conduct HR reporting such as insurance audits, DOL, EEO, ACA, NYS Labor, 403B, Family Leave correspondence, and OSHA 300 reporting.
Support managers with terminations compliant with DOL regulations, represent 82SA in unemployment hearings and DOH, DOB violations.
Review Personnel Policies annually for updates.
Post jobs when needed and manage hiring platforms.
Order supplies and other materials if needed. Support purchasing.
Support ONS and administrative procedures, distribute keys as necessary.
Attend business matters with transparency to CEO.

Building Operations
Supervise Custodians and clerical staff.
Weekly building walk-throughs to comply with Article 47 (DOH) and OCFS.
Provide and order janitorial supplies.
Maintain attic storage.
Manage repair and replacement of furniture and equipment.
Advise on enhancements to maintain a modern-looking space.
Develop administrative activities related to vendors and stakeholders for building operations.

CACFP
Respond as the main contact for CACFP matters.
Renew permit and manage platform.
Understand the CACFP process, take and pass basic training for licenses.
Respond as the main contact with the food vendor, order food, select new vendor if needed, liaise with the vendor, maintain the delivery process, and solve issues.
Attend CACFP trainings and maintain CACFP documentation compliance.

Regulatory Compliance
Renew permits for programs at Main Location.
Create, update, and guarantee correct use and storage of regulatory compliance documents (DOH, DOE).
Ensure staff compliance related to licenses, medical support, and training.
Support tracking activities on APS related to staff.
Act as the second point of contact with DOE and DOH.
Support visits and walks through with DOE, DOH, NYFD, and any other part interested.
Monitor new laws as they are passed to ensure ongoing compliance with school policies and suggest updates as needed to maintain compliance.

Professional Responsibility

Lift 40 pounds on occasion.
Tolerate occasional conflict in supervision or work with stakeholders.

Education and Experience
60+ credits for a bachelors degree.
Coursework in Business Administration and HR is required.
3+ years of relevant administrative and operations experience.
Knowledge of Office technology required.
Strong communication skills and a facility for working well with people.

Labor Description
Exempt.
Full-Time Staff Member.
Hybrid position with at least 1-2 days in the office
