Summary – The Full-Time Ford Nature Center Receptionist under the general direction of the Education Manager, facilitates all customer service, retail, and receptionist duties at Ford Nature Center. This position will be required to perform other duties as assigned by the Education Manager. This position is suitable for transitional duty.
Primary Responsibilities
Reception and Visitor Services
- Greet visitors entering Ford Nature Center
- Answer any in person, email or phone inquiries made by the general public
- Assist with various Community Engagement events by making registrations, taking payments, answering questions, and directing attendees
- Manage incoming telephone calls, take accurate messages, and transfer as appropriate
- Assist visitors with brochures, maps, directions, etc.
- Maintain high level of confidentiality in all department business
- Collect and distribute incoming and outgoing mail
- Coordinate Park Visits, prepare confirmation/invoices, accept payment, manage follow-up emails
- Serve as a liaison between Mill Creek MetroParks and schools/community groups interested in visiting Ford Nature Center, Lanterman’s Mill, and/or MetroParks Farm, and other park sites as needed
- Facilitate opening and closing procedures for Ford Nature Center
- Organize and submit daily reports to the Finance Department
- Ensure all MetroParks rules and regulations are followed
Retail
- Assist in maintaining inventory, preparing orders and processing invoices
- Organize the retail space, restocking shelves and folding clothing as needed
- Process sales transactions involving cash or credit card
- Assist customers by answering questions and making product recommendations
- Keep accurate transaction records and balance daily cash register activity
Departmental Functions
- Assist with building needs including office supply inventories, safety systems checks, and operations work orders
- Prepare quarterly Education Program document and maintain supply for visitors
- Assist the Education Manager in developing and monitoring Visits to the Park schedule/records and set-up of facilities for visits
- Assist Educators in program preparations and visits to the facility
- Keep supervisors informed of essential issues and report disturbances to proper authorities
- Initiate department volunteer requests, contact new volunteers and track/process accrued hours
- Other duties as assigned
Essential Knowledge, Abilities and Skills
- Must be highly organized, efficient, and capable of managing numerous objectives, simultaneously within a fast-paced environment utilizing sound judgement
- Must possess excellent communication skills in both verbal and written forms with the ability to effectively reach a variety of audiences in various formats
- Must possess technological skills and abilities through the operation of standard office equipment and computer software.
- Must exhibit the ability to be part of a team and work with various disciplines in a collaborative approach utilizing a positive attitude and professional appearance and demeanor
- Must be able to maintain confidentiality and exhibit professional courtesy, diplomacy and tact
Education/Qualifications
- 2-5 years demonstrated experience in an office or retail environment
- Experience with online reservation systems preferred
- Must possess and maintain a valid Ohio driver’s license
Physical Requirements Necessary to Perform Job Functions
- Ability to walk, traverse or otherwise access all MetroParks gardens, landscape plantings and forest areas under all types of conditions and weather
- Must be available to work special events including events taking place on evenings, weekends and holidays
- Must be physically able to perform all tasks inherent to the position
- Ability to stand, sit, bend, stoop, climb, and walk for lengthy periods of time
- Hand and finger dexterity, ability to type for extended periods of time
- Ability to sit at a desk and view screen displays for extended periods of time
- Ability to see and hear
- Regular and predictable attendance
- Ability to communicate, clearly and effectively to a wide variety of audiences
