Position Title: Practice Administrator

Location: Boca Raton, FL

Full Time: Yes(8:00am-5:00pm)

Salary range: $60,000-$90,000/annually + Full Benefits

Position Summary:
The Practice Administrator will oversee the daily administrative operations of the practice and provide support to departmental leadership in staff training and management. The role involves collaborating with legal assistants and paralegals, ensuring exceptional client service, and participating in staff recruitment. The Practice Administrator will not handle individual caseloads but will assist in case-related tasks and serve as a liaison between attorneys and staff.

Key responsibilities include resolving employee issues, evaluating departmental procedures, conducting quality audits, providing performance feedback, managing staffing needs, onboarding new hires, training staff, overseeing leave management, invoicing, maintaining vendor and client relationships, coordinating administrative tasks across departments, and managing the case management system.

Essential Job Functions:

  • Collaborate with HR and management to address employee issues and disputes.
  • Assist Managing Attorney in assessing departmental procedures and workflow for enhancements.
  • Conduct regular quality audits of staff work and maintain records of results.
  • Provide direct feedback on job performance to staff and support their professional development.
  • Offer guidance to departmental leadership on staffing requirements.
  • Welcome and onboard new hires, ensuring a smooth transition into the team.
  • Conduct training sessions for staff on departmental procedures and systems.
  • Manage PTO and sick leave requests for the department.
  • Review and update invoices regularly to maintain accuracy.
  • Cultivate and maintain relationships with vendors and clients.
  • Coordinate administrative tasks with other departments as needed.
  • Administer the case management system within the department.
  • Facilitate the transfer of cases to and from other firms.
  • Ensure timely delivery of files to clients upon request.
  • Assist with case-related paralegal tasks as necessary.
  • Perform any other duties as assigned by management.

Experience/Requirements:

  • Full-time position, Monday to Friday, 8:00 am to 5:00 pm.
  • Bachelor’s degree or paralegal certification preferred.
  • At least 7 years of experience in a law firm, preferably in a legal assistant, paralegal, or supervisory role.
  • Minimum of 5 years of experience in personal injury litigation.
  • Demonstrable management experience of at least 2 years.
  • Strong customer service skills with the ability to interact effectively with clients and colleagues.
  • Proficiency in Microsoft Office programs (Word, Excel, and Outlook).
  • Ability to handle a heavy workload in a fast-paced environment.
  • Excellent organizational skills with the ability to multitask and prioritize effectively.
