As Administrative Manager, you'll be the backbone of our office, providing essential support to ensure smooth operations. Your role involves overseeing various administrative tasks and collaborating with team members to optimize efficiency.
Key Responsibilities:
- Manage accounting activities including general ledger, banking, accounts receivable, accounts payable, purchase orders, and payroll.
- Ensure accurate calculation of accruals to properly allocate expenses.
- Produce timely financial statements and reports for Headquarters.
- Collaborate with Sales and Operations Managers to streamline payment processes and optimize collections.
- Monitor accounts payable to maximize vendor discounts and avoid late fees.
- Report inventory levels exceeding 1% of annual sales to the General Manager.
- Collect and maintain key performance data for analysis.
- Provide daily reports to the General Manager.
- Prioritize client interactions and uphold excellent customer service standards.
- Oversee company assets including vehicles, information systems, and communication systems.
- Conduct weekly bank reconciliations and scrutinize A/R invoices for accuracy in job costing and reporting.
- Highly organized with strong communication skills.
- Proficient in accounting principles and financial reporting.
- Ability to multitask and prioritize effectively.
- Detail-oriented with a proactive approach to problem-solving.
- Previous experience in administrative management preferred.
