We are seeking a proactive and customer-focused Front Office Assistant to manage our front desk operations and provide administrative support to our team. The ideal candidate will have excellent communication skills, a positive attitude, and strong organizational abilities. As a Front Office Assistant at Createify Form, you will play a key role in creating a welcoming environment for visitors and ensuring the smooth operation of our office.
Key Responsibilities
- Greet visitors, clients, and callers in a professional and courteous manner. Direct them to the appropriate person or department and ensure that their needs are met promptly and efficiently. Maintain a welcoming and tidy reception area.
- Answer incoming phone calls, transfer calls to the appropriate person or department, and take messages as needed. Handle inquiries and provide information to callers in a clear and helpful manner. Manage voicemail messages and ensure that all calls are responded to promptly.
- Schedule appointments for clients and team members using the company's scheduling system. Coordinate with staff to ensure that appointments are properly scheduled and accommodated. Notify staff of appointment reminders and changes as needed.
- Register and sign in visitors, issue visitor badges, and notify employees of visitor arrivals. Escort visitors to meeting rooms or designated areas as needed. Ensure that all visitors follow security protocols and adhere to company policies while on the premises.
Skills, Knowledge and Expertise
- High school diploma or equivalent required; additional education or training in office administration or customer service is a plus.
- Prior experience in a receptionist or administrative role preferred.
- Excellent communication and interpersonal skills, with a friendly and professional demeanor.
- Strong organizational and multitasking abilities, with the ability to prioritize tasks and manage time effectively.
- Proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with office equipment such as multi-line phone systems.
