PATENT PROSECUTION ADMINISTRATIVE ASSISTANT
Our client is a full-service, national law firm with offices in New York, Washington,
D.C., Boston, and West Palm Beach that provides integrated multidisciplinary legal services for
life science and technology companies. The firm is seeking a full-time Patent Prosecution
Administrative Assistant to join its Patent and Trademark prosecution practice in its New York
office. This position will support the patent prosecution department across all offices with all
aspects of patent prosecution administrative matters and will operate as part of a team to
provide a high level of service to both attorneys and clients. This position requires in-office
presence five days a week and will report to the Manager of Patent Prosecution and Trademark Services.


ESSENTIAL JOB FUNCTIONS:
Supports the patent prosecution department with all aspects of patent prosecution
administrative matters.
o Handles the day-to-day administrative functions and provides general clerical
support to the patent prosecution attorneys and paralegals.
o Prepares draft reporting letters and e-mail correspondences.
o Proofreads correspondence and legal documents for content, grammar, spelling and
formatting.
o Reviews, confirms and saves incoming correspondences from the clients and foreign
associates.
o Opens new client-matter numbers.
o Maintains and updates the patent prosecution files in the electronic records
management systems.
o Assists with invoices.
o Obtains published applications and patents from the U.S. Patent Office, WIPO and
foreign patent databases.
o Ensures correspondence and legal documents are processed and handled in a
timely and efficient manner in order to comply with appropriate regulations and
deadlines.
o Assists with the reporting and payment of the patent annuities.
o Assists with maintaining and updating patent status reports.
o Assists with the patent prosecution docketing in CPI, as needed.
o Assists other departments with administrative and clerical functions when necessary,
including reception-desk responsibilities in the New York office.

KNOWLEDGE/SKILLS REQUIRED:
· This position requires someone with strong technical and organizational skills, excellent
verbal and written communication skills, and a strong work ethic.
o Meticulous attention to detail.
o Excellent critical and analytical thinking and a demonstrated ability to multi-task,
manage workflow.
o Proficiency with document management and word processing software including
Microsoft Office Suite applications, iManage and Adobe Acrobat.
o Strong time-management skills.
o Excellent oral and written communication skills.
o Availability for overtime as required.

EDUCATION/EXPERIENCE:
· Associate or Bachelor’s degree required.
· Experience in a law firm or corporate setting preferred.
· Salary is commensurate with education and experience.
