Fully Remote, Contractor Operations Role for Accounting Firm

We are an accounting and tax advising firm that specializes in helping our clients get their tax bill as close to zero as possible. This is not a stiff corporate environment -- we work exclusively with entrepreneurs and operate with an entrepreneurial spirit. We are looking for a skilled and organized Operations Staff member to join our team. This role is integral in ensuring the seamless operation of our firm by supporting various administrative and client-related functions.

Job Responsibilities:

• Manage multiple projects across the bookkeeping and tax preparation teams using project management software
• Handle client communications, maintaining professionalism and confidentiality.
• Prepare and file LLC and corporate formation documents, and draft nonprofit tax-exempt applications.
• Submit forms and necessary paperwork to the IRS.
• Retrieve client transcripts via the IRS TDS -- huge plus -- and manage sensitive information securely.
• Collect data and documentation from clients needed for bookkeeping and tax preparation.
• Invoice clients and manage accounts receivable.
• Schedule and coordinate meetings for staff and clients.
• Track staff hours and manage payroll processes.

Requirements:

• Proven experience in supporting accounting firm operations or similar roles.
• Strong familiarity with the IRS Transcript Delivery System and other IRS procedures.
• Extensive experience with QuickBooks, Intuit tax products, and project management software.
• Excellent project management skills with the ability to handle multiple tasks simultaneously.
• Exceptional communication skills, both written and verbal.
• Detail-oriented with a high degree of accuracy and confidentiality.
• Proficient in standard office software and accounting-specific platforms.
• Ability to work independently in a fully remote environment.
• Prior experience in client data collection, invoicing, scheduling, and payroll management.

Preferred Qualifications:

• Experience with LLC and corporate formation paperwork, and overall corporate structures
• Systems-oriented person that loves tracking tasks and making sure the whole company is operating seamlessly.
• Knowledge of bookkeeping and very basic accounting principles.

Compensation:

• Hourly pay: $30-$40, based on experience.
• A 15% quarterly bonus incentive for top performers.
