Job Description
Salary: $16-$18 Hourly DOE

The basic function of the Administrative Clerk (Sales Department) is to provide the support functions to enable the efficient operations of the Sales Department.

 

REQUIREMENTS

 

Experience:

  • Requires a High School Diploma or equivalent.
  • At least 2 years’ experience in a clerical position

Preferred:

  • 2 years’ experience in the Transportation, Freight, Supply Chain and/or Logistics Industry
  • 2 years’ experience working in a larger company

 

Required Skills / Abilities:

  • Ability to read, write, and speak English at a level that allows the completion of any required task and customer communications in a legible, thorough, and logical manner and to communicate with Customers and Office staff
  • Ability to speak and write Spanish is an asset
  • Ability to meet procedural and quality requirements
  • Ability to work to, and meet, short and required deadlines
  • Ability to understand and internalize instructions and standard processes and procedures
  • Ability to shift from one task to another in a timely and efficient manner
  • Ability to work cooperatively with co-workers and Supervisors
  • Dependable – attendance, being on time as well as being at work as expected is very important
  • Exceptional time management skills focused on outcomes
  • Experience with CRM software is an asset
  • Excellent interpersonal, teamwork and customer service skills
  • Good interpersonal and communications skills
  • Must have excellent organizational skills
  • Must be highly detail oriented
  • Must be proficient in MS Office applications: Excel, Outlook & Word
  • Must be available and willing to work Monday through Friday, 8am to 5pm

 

DUTIES AND RESPONSIBILITIES

 

  • To successfully meet deadlines within the time allocated
  • Effectively utilize the company communications systems including telephone, fax, email, delivery of messages, and others that may be required and/or changed from time to time.
  • To document activity according to procedure through the company CRM, and/or such tools as may be required from time to time
  • To provide all documentation and records, whether electronic or paper, as required and within the timelines required
  • To manage personal calendar in a way that ensures that all daily and/or weekly and/or monthly tasks are completed as required.
  • To represent the Tri Star Freight System professionally and ethically in all interactions with Customers, Prospects, Vendors, and colleagues
  • To schedule personal time off in advance.
  • To dress appropriately and professionally for work, when at the office or customer facing
  • To provide the Sales Manager a solution, or series of potential solutions, to any identified issue
  • To maintain an exemplary company image on the job through quality interactions with customers, taking personal pride in work, and maintaining a tidy work area
  • To be responsible for appropriate care and maintenance for all Company equipment, software, and materials under your use
  • To attend any mandatory Departmental and/or Company Meetings as directed by the Sales Manager
  • To comply with company policies and procedures, written or informal, as applicable
  • To be willing to learn new practices, training, cross-training, and skills as required to keep up to date with best practices as defined and amended by the Company from time to time.
  • Communicate with Dispatch and Logistics Departments in a timely, clear, and professional manner.

 

PHYSICAL REQUIREMENTS:

  • The physical demands described here are those that must be met by the employee to successfully perform the essential functions of this job.
  • BODY POSITIONS:  While performing the duties of this job, the employee is regularly required to sit for long periods of time.
  • BODY MOVEMENTS:  The employee must have a full range of body movements including use of hands and fingers, to handle or feel objects, operate computers, write documents, and reach with hands within arm’s length, kneel and crouch.
  • BODY SENSES:  Must have command of all five senses: sight, hearing, touch, smell, and taste.  Specific vision abilities required include close vision, depth perception, and the ability to adjust focus. 
  • STRENGTH:  Must have the ability to occasionally lift 15 pounds.

 

WORKING CONDITIONS

  • This position will be working primarily indoors in a climate-controlled, smoke-free office environment, but it also requires the employee to be in the warehouse on an infrequent basis. The position may also require the employee to run errands outdoors from time to time. From this movement (outdoors and warehouse), the employee will encounter varying weather conditions and temperatures.
  • The noise level in the work environment may range from low to medium.
