Commercial Construction company seeking a part-time office associate. If you are looking to start your career or are a seasoned office professional, we would like to meet with you! Job Responsibilities:
Enhance the organization’s reputation by accepting ownership for accomplishing new and different requests and exploring opportunities to add value to job accomplishments.
Provide general administrative support to the Office Manager as various tasks are assigned, such as;
· Receive and distribute communications (i.e., mail, company email, phone messages)
· Collect and mail correspondence using USPS, UPS and FedEx
· Greet and manage walk-in traffic (employees, scheduled appointments, material deliveries, sales calls, etc.)
· Scanning, Filing, Shredding and record retention as needed
· Facilitate the new hire process (assemble new employee files, submit E-Verify requests, issuance of company clothing, assist with on-boarding training course set up, etc.)
· Support company vehicle related responsibilities (i.e., monthly fuel reports, gas cards and receipts, EZ Pass accounts, mileage records)
· Maintain office equipment (printer, phones, fax machine, mail meter, etc.), by completing preventative maintenance, troubleshooting failures, calling for repairs, purchasing meter funds
· Keep the office clean, stocked and organized (printer room, office supplies, kitchen, storage closets and communal areas). Maintain inventory of office supplies and anticipate supply needs; ensure prompt ordering and receipt of supplies, restock when appropriate
Work Hours & Benefits:
· Anticipated schedule is Monday through Wednesday, 8:30 am – 4:30 pm, with an opportunity for additional hours as workload fluctuates
· Pay range is $16-$20 per hour, DOE.
· 401(k), Medical and Dental Insurance offered
· Travel: Local (i.e., Post Office, Bank)
· PTO: 40 hours
· Sick Time: Accrual is as per New York State Standards
· Advancement and growth opportunities available by cross-training in other office related functions
Qualifications & Skills:
· Proficiency with Microsoft Office software, particularly Excel
· Strong time management and multi-tasking abilities
· Typing and word processing skills
· Attention to detail and organizational skills are a must
· Dependability and professionalism are expected
· Written, verbal and spoken communication skills
· Ability to maintain confidentiality of company information
Education & Experience Requirements:
· High School Diploma or equivalent
· Valid Driver’s License
· Accounts Payable, Accounts Receivable, Payroll and/or Insurance experience are all a plus but not required
· Quick Books experience is a plus but not required
