Job Description

II. Job Summary:

The primary objective of Administrative Assistant is to support Human Resources, Finance and Enterprise businesses. The Administrative Assistant is responsible for welcoming visitors and answering phones for the Second Chance facility, monitoring meeting room use and providing administrative and clerical support to staff under moderate supervision.

III. Core Job Functions:

The Administrative Assistant performs a wide range of duties including but not limited to the following:

  • Act as receptionist for the Second Chance facility, answer phones, direct calls, greet and direct visitors.
  • Provide support to the Human Resources department including assisting with the new hire process, submitting background/drivers license checks, maintaining personnel files and other employee records, assisting with benefits and payroll administration and other tasks as assigned.
  • Provide administrative support to the Executive Vice President, assisting with projects and clerical tasks.
  • Provide administrative support for the Second Chance General Manager and Leadership Team, including developing and maintaining a filing and data organization system and other projects and tasks as assigned.
  • Provide administrative support for the Finance Team, including assisting with billing, attestation forms, and other tasks as assigned.
  • Function as office manager for the Administration Office, performing a variety of duties including ordering supplies, distribute mail, coordinate with Admin/Facilities Manager for IT issues, and other tasks as assigned.
  • Perform any other tasks and duties necessary in order for the agency to meet its mission

IV. Position Requirements:

Education and Experience

  • AA degree in Business, Human Resources or related field, or an equivalent combination of education and relevant work experience.
  • At least one year of relevant work experience

Skills, Knowledge and Abilities

  • Demonstrated skills in Microsoft Office 365, including Word, Excel, PowerPoint, and Outlook.
  • Ability to work effectively in a mission-driven agency whose clients and staff reflect significant diversity with respect to race, ethnicity, gender, orientation, socio-economic status, nationality and religion.
  • Ability to establish and maintain positive working relationships with others, both internally and externally, to achieve the goals of the organization.
  • Ability to communicate effectively with diverse audiences using appropriate and effective communication tools and techniques.
  • Ability to work independently with limited supervision.
  • Ability to identify and analyze problems; develop and carry out effective courses of actions.
  • Ability to maintain confidentiality.

V. Working Conditions and Environment:

Enterprise: Incumbent will have a private office/designated workspace in a typical office environment. The building is multiple floors and fully accessible and is smoke-free. Work will include regular local travel. Working hours are generally Monday through Friday, 8 am-5:00 pm, but may include occasional evening and weekend hours. The noise level in the work environment is usually moderate, sometimes loud.
