ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Ensure efficient operation of the office, including managing office space, supplies, and
mail; ensure maintenance of all facilities and equipment; oversee janitorial and other
vendor services; and liaise with the building’s property manager.
• Design and implement policies and procedures to ensure compliance with agency
guidelines and regulations.
• Provide administrative support, project management, and data entry as needed for the
Leadership Team, Human Resources, other programs.
• Facilitate communication within the office and with external parties. This may involve
scheduling meetings, managing phone calls, and sending emails and other
correspondence.
• Prepare correspondence for internal and external stakeholders, which may include
meeting agendas, notes, and minutes; letters; slide decks; and reports.
• Support staff onboarding and offboarding, including tracking equipment/supplies.
• Organize and maintain office filing systems and records. Ensure that information is
easily accessible and secure. Ensure files are scanned, saved, or destroyed based on
the organization’s document retention policy.
• Complete business-related forms for agency compliance, such as city licensure, state
nonprofit compliance documentation, etc.
• Provide logistical support for meetings and events.
• Other duties as assigned.
EDUCATION AND/OR EXPERIENCE:
Required Skills & Experience:
• High school diploma or equivalent with at five least years office and administrative
support experience is required.
• Proficient with Office 365 programs, such as Outlook, Word, SharePoint, and Excel
