Company Overview: Established over 20 years ago in Winter Park, FL, our boutique behavioral and mental health company specializes exclusively in serving children aged 0-5. We pride ourselves on our dedicated team of administrative staff, many of whom have been with the company for over a decade. With a focus on providing personalized services, we have recently expanded to include Applied Behavior Analysis (ABA) services alongside our existing mental health offerings. As our ABA clinic continues to grow, we are seeking an experienced ABA Coordinator to join our team.
Position Overview: The ABA Coordinator will play a vital role in the seamless operation of our ABA clinic. They will be responsible for scheduling shifts for Registered Behavior Technicians (RBTs) and Board Certified Behavior Analysts (BCBAs), tracking authorizations and assessments, ensuring timely completion of assessments, and implementing systems to track key metrics as needed. The ideal candidate will have a strong background in ABA, excellent organizational skills, and the ability to navigate various office systems and software platforms.
Responsibilities:
- Schedule shifts for RBTs and BCBAs, ensuring adequate coverage for client sessions.
- Track authorizations and assessments, ensuring all necessary paperwork is completed and submitted in a timely manner.
- Implement and maintain systems to track key metrics related to scheduling, authorizations, and client progress.
- Collaborate with administrative staff to coordinate schedules and ensure smooth operation of the clinic.
- Utilize office software, including Office 365 suite (Excel, Outlook, Teams), to manage schedules, communicate with team members, and track client data.
- Navigate Electronic Medical Record (EMR) system and HR system to access client information and manage employee records.
- Stay up-to-date on Medicaid's behavior analysis handbook, as well as rules and regulations surrounding behavior analysis.
- Communicate effectively with team members and clients, demonstrating good telephone etiquette and professionalism.
- Maintain a positive and collaborative work environment, contributing to the overall positive energy of the office.
Qualifications:
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Typing speed of at least 45 words per minute.
- Strong working knowledge of Office 365 suite, particularly Excel, Outlook, and Teams.
- Background in scheduling shifts for RBTs and BCBAs preferred.
- Familiarity with obtaining authorizations and navigating Medicaid's behavior analysis handbook.
- Ability to problem-solve and figure things out independently.
- Experience coordinating schedules through multiple channels, including texting and messaging platforms.
- Comfortable working in an office environment, with the flexibility to occasionally work from home.
